Who uses this: TMC agent
Where to find it: Vairo extension → Policies tab
Status: Shipped
What you can do here
- Read the corporate's travel policy for the active request
- See preferred suppliers (airlines, hotels, cars) the corporate has agreements with
- See negotiated deals that apply to this request
- Read AI-surfaced insights about the traveler (loyalty programs, preferences, past patterns)
- Get policy alerts when a quote variant breaks a rule
Layout
The Policies tab is divided into three collapsible sections:
- Traveler Profile — loyalty programs, seat/meal preferences, frequent destinations, past booking patterns. AI assembles this from past requests and Umbrella data.
- Policy Alerts — live warnings about the active quote variants vs the corporate's rules (cabin class too high, advance-booking window too tight, supplier on avoid list, etc.).
- Deals — negotiated rates that apply (e.g. corporate code with Star Alliance, hotel rate at Marriott Brussels).
Each section opens to a detail modal when you click a card. Sections can be collapsed by default agency-wide — see Settings → General → Extension Settings.
Walkthrough — check policy before sending a quote
- With an active request, open the Policies tab.
- Skim Traveler Profile — pick up loyalty programs to include in the booking (frequent flyer, hotel guest numbers).
- Read Policy Alerts. Each alert names the rule that's at risk:
- "Cabin class (Business) above policy (Economy) for flights under 6 hours" — re-check whether your variant exceeds cabin policy.
- "Advance booking 4 days — policy minimum is 7" — last-minute booking; needs an exception.
- Read Deals. If a corporate deal matches one of your variants, mention it in the quote cover note or the variant notes.
